How streamlining processes can transform your business

I recently met with a client struggling with the overwhelm of using multiple systems and apps to keep their business going. I am sure a lot of us can relate to that feeling. I am used to having multiple tabs open on my laptop, whilst using apps on my phone to manage client tasks. I am currently working with an amazing system that should hopefully streamline some of these processes for me (more of that another time!).

This new client recognised the need to look at what they were currently doing and explore how effective each part was. One thing they relied on was their paper diary, whilst also using apps like Calendly to allow people to book meetings with her. She found she would receive an email request for a meeting, manually add the meeting to her paper diary, then send the potential client a zoom meeting invitation for that time. That’s 3 quite big steps for something that could easily be streamlined.

Understandably, the client was nervous about changing processes. We all know what we know, right? I mentioned they might find it easier to use an online calendar and explained that by having an online calendar we could link a meeting booking software that could automatically send out the meeting invitations to the potential client.

Why am I sharing this?

Well, it reminded me how much we rely on what is safe and familiar to us in our business. I once worked for a big organisation and we spent months working through things to get a new CRM set up. The long-term aim of this CRM was to streamline client/employee processes and ultimately make our jobs more straightforward. Let me tell you, this process was scary. What if the job felt differently after the implementation of the new CRM? What if we had missed steps in the customer journey whilst working with the CRM developers? There were so many valid (and let’s face it, invalid) reasons why people were getting twitchy.

By supporting my client to set up and use an online calendar she realised it was not as daunting a process as she had anticipated. In fact, what has happened, is that she has saved herself valuable time which in turn she is using to help her work with a brand-new system for her, which will help her elevate her business to the next level.

All this from a seemingly simple process change.
